Hugh Jones Solicitors is a leading specialist Court of Protection and Private Client firm, winner of a number of awards.
As a boutique firm 95% of our work is for vulnerable clients and their families. We have around 80 employees working both at home and from our office at the Deva City Office Park, Manchester.
The role
We are looking for an Administrative Assistant with strong organisational skills to join our busy Accounts Team (currently 7).
The ability to organise and prioritise and pay keen attention to detail is essential due to the volume of documentation required for external financial institutions with whom we hold 800+ deputy, client and trust bank accounts.
Evidence of good interpersonal skills in a professional services environment would also be preferred as telephone liaison, both internally and with banking institutions, is required.
The role will report to the Legal Cashier – Team Leader and duties will include: -
- Preparing and submitting documentation and keeping detailed records of staff banking access and approval limits
- Preparing and submitting template forms and letters for financial institutions to open/close bank accounts
- Sending letters to financial institutions to resolve any issues that arise
- Telephoning the bank to resolve any account queries that arise
- Maintaining lists of bank accounts, debit cards and related information via spreadsheets
- Entering new beneficiaries to online banking software
- File closing and archiving using SOS Accounts system
- Filing and assisting with general accounts paperwork
- Reviewing and promptly actioning emails from Finance Inbox assigned to the role
- Other tasks as requested
The role will develop over time and may include some legal accounts work such as:-
- Posting financial transactions to ledgers including disbursements and bills
- Raising recurring payments for our deputyship clients
- Completing expenses and supplier payment runs
The role is office based but there may be the possibility to work one day a week from home after six months.
Skills/Experience required
- Organising and maintaining volumes of documentation
- Keen attention to detail and timely accurate record keeping
- Confident communication skills and working within a team (preferably in a professional services environment)
- Ability to prioritise work
- Numerate
- Basic use of Microsoft Excel & Word
- Previous experience in a law firm would be preferable but not essential

Salary: Commensurate with experience
